Advocate Respectfully

This is one of a series of brief articles on holding difficult conversations. In earlier issues of Ki Moments, I suggested ways to open communications that create mutual respect; we talked about the importance of knowing your purpose for the conversation; and we added Inquiry and Curiosity to our conversational toolbox. Here the topic is Advocacy.

Advocacy is the flip side of Inquiry – the opportunity that you open for yourself to tell your story. What can you see from your perspective that they've missed? Can you clarify your position without minimizing theirs? For example: "From what you've told me, I can see how you came to the conclusion that I'm not a team player. And I think I am. When I introduce problems with a project, I'm thinking about its long-term success. I don't mean to be a critic, though perhaps I sound like one. Maybe we can talk about how to address these issues so that my intention is clear."

Tips for sharing your side of things:

•Wait to offer your side until your partner has expressed all his energy on the topic. Check to make sure he's finished.
•Remember your purpose for the conversation. It's easy to get off on tangents, become reactive, and lose your way. Know and return to your purpose at difficult moments.
•Don't assume. When telling your story, go slow, be clear, and don't assume they know what things looks like from your point of view.
•Teach, don't preach. Notice your desire to "sell" your partner on your story. Simply state how things look from your side.
•Listen to yourself and try not to use words that will cause your partner to react defensively. You want him to listen, so use words that he can hear.
•Share facts rather than subjective interpretations. "When you walked by me and didn't say anything" is a fact. "When you ignored me" is a subjective interpretation.

Most important, speak with respect. On the aikido mat, we bow to our partner before beginning and ending each technique. Imagine bowing to your conversation partner before you begin the conversation. As you begin to lose your center, think about this, and remember that you advocate best when you respect your partner's story.

Any bookkeeping consultant who has not taken these costs into consideration is not a bookkeeper you want - if they don't know enough to include these costs into their fees, then they don't know enough to be a help to your business. You should expect to pay at least three times what you would pay an experienced full charge bookkeeper.

And just how do you save money by paying three times the amount you would pay an employee? Well, let's see. There will be no recruiting, interviewing and training costs for start. And if you should find yourself unhappy with the services there will be no additional recruiting, interviewing and training to replace your bookkeeper. Also, you will not have to be concerned about law suits such as sexual harassment, unlawful firing, age discrimination, sexist, etc. Or an increase in your unemployment rates because you laid off an employee that you really wanted to fire but had no lawful cause to do so. So right away we have less time and money spent and potentially less hassle if things don't go well.

And of course you will not be paying workman's compensation and general liability insurance premiums. Also any worthy bookkeeper will expect at least two weeks vacation, coverage for sick time, health and dental insurance and even perhaps more benefits.

Most professional bookkeepers will have their own offices saving you space within your office. So you will not be buying that extra desk, calculator, computer and computer software. Your bookkeeper will be providing all of that as part of his/her fee. No software updates, computer maintenance, training costs, etc. Of course should you prefer to have your computerized bookkeeping records available to you at your office, a small investment in software installed on your computer makes this possible. Also no office supplies to be paid for. You will be amazed at just how much pens, pencils, and paper can be used by a bookkeeper. Your consultant bookkeeper will either ask you to drop off the work at their office, will pick it up at your office or some may even offer remote bookkeeping service. And by having your bookkeeping done off site, your bookkeeper will be able to work more efficiently and accurately because her/his office will most likely offer less distractions than your busy office. All of this is saving you money.

And the best reason for outsourcing is that you control the amount of money spent on bookkeeping. What I mean by this is that the person you hire to do your bookkeeping will be doing just that - not answering the phone, dealing with drop-bys, chatting to other employees, etc. Also you can start with just a few hours a month and add on when you need to and then adjust downward again should it be necessary. Can you imagine finding an employee to start with only four hours a month, then asking them to put in 20 hours a week for awhile and then back down to four hours a month again. I don't think you would keep them for very long, but a free lance bookkeeper is able to work around these variables and even more importantly expects to work with flexible schedules.

Advances In Technology Making Coalbed Methane Exploration More Effective

New technologies being used to drill for, and produce, coalbed methane (CBM) gas are making it easier to get out the gas. That’s according to Dr. David Marchioni, one of Canada’s leading CBM geologists, who appeared on Canada’s ROB TV in late April. “Because of advances in the technology, one can be more effective in getting the gas out,” Dr. Marchioni told the reporters on Canada’s leading business television network.

Questioned about how CBM gas was different from conventional natural gas, Dr. Marchioni, who was recently named the Vice President of Exploration for Pacific Asia China Energy (TSX: PCE), responded, “CBM gas is really no different from natural gas.” He added, “It’s really better because it has a very high methane content, generally 90 percent, often much higher than that.”

Marchioni pointed out that coal has a lot of porosity and can hold a lot of gas. “Permeability is the problem with CBM,” he explained. He compared CBM with natural gas, saying, “If you can find the (natural) gas, you can probably get it out.” That’s not always the case with CBM.

China came during Marchioni’s television interview. China nearly always does end up a topic of discussion, when talking about CBM. Because China’s coal mines account for approximately 80 percent of coal mining fatalities, China has campaigned to reduce the number of deaths. China’s state-owned CBM company, China United Coalbed Methane Company, has continued granting CBM concessions to foreign-owned companies to help vent the methane from their coal mines. “The Chinese government is pushing very hard to have their coal mines degassed,” Marchioni said. He explained that the Chinese were beginning to drill for methane before starting their coal mining operations.

“That’s something we’re interested in,” Marchioni told ROB TV. The “we” must be Pacific Asia China Energy, upon whose board he sits as a director in addition to exploration duties. His company has two CBM concessions in China, and Marchioni recently returned from China. Pacific Asia China Energy has also formed a joint venture company with Australia’s largest privately owned drilling company to utilize their highly acclaimed Dymaxion® drilling technology for exclusive use in China. That is an advanced technology in which Chinese coal mining companies have expressed interest in using for their coal mines. Marchioni’s company recently announced initial drilling results on one of their Chinese CBM properties.

As with others, who have recently visited China, Marchioni was overwhelming in his praise for China’s continued modernization process. He joked with us, saying, “I get a better cell phone connection in some rural part of China than I do in some parts of Alberta.” It has been difficult for us to grasp how “modernized” China has become. We’ve heard the same glowing phrases about China expressed by numerous mining insiders who have recently visited this country. All of that commentary didn’t really dawn on us, until this past weekend, while watching the new movie, Mission Impossible 3. Magnificent shots of Shanghai’s skyline filled with ultra-modern office towers and high rise condominiums, where some of the movie was filmed, persuaded us China has indeed moved forward into the 21st century. China has more than 200 cities with populations greater than 1 million, dwarfing any other country on earth. China reportedly has more then 300 million in its middle class. We had better all start learning Mandarin or Cantonese or both.

Address Lables - Useful Tips

Making address labels for letters and parcels can be a real chore. It’s something that has stood in the way of all sorts of people, whether they are large-scale eBay sellers or simply office workers who need to post a big batch of letters.

What you might not have realised, though, is that making address labels can be easy when you know how. The best way to do it is to compose your letters using a Mail Merge function in the first place, such as the one that comes with Microsoft Word. This means that your addresses are being stored not in the documents themselves, but in either a spreadsheet or a database. The documents then contain a ‘field’, which is a special area where the program knows the address should go.

Once you have split your addresses from your documents in this way, you should find it much easier to make address labels. All you need to do is open a page and insert a lot of address fields, with a ‘next record’ field in between each one to tell the software not to put in the same address twice. Word has a wizard to help you do this: just go to the File menu, then New, and then choose ‘Mailing Label Wizard’ from under ‘Letters and Faxes’. Point it to your database, and you should be good to go.

The final step in making address labels is a physical one. Sure, you’ve got your fancy software that can make mailing labels, but unless you want to cut the addresses out from pieces of paper and use tape or glue, you’re also going to need to get some sticky labels and put them in your printer. You can obviously find them at any good office supplies or stationery store, but make sure to get a size that Word knows about, so it can lay the labels out correctly for you. You can check the label sizes Word has available in the last stage of the Mailing Label Wizard, after you point it to your database – don’t worry too much, though, as few manufacturers will bother to make labels in a size incompatible with Word.

Acquire New Business

A major part of keeping profitable and growing your business is maintaining a focus on business development. Even when you've got the right mix of work, clients and employees you should be looking for new opportunities. You could establish a process to do this whilst ensuring your existing customers don't get neglected. The process helps you manage new business opportunities in a cost- and time-effective manner.

Generate leads

Identify the types of companies you want to work with and a realistic number of companies you want to target over a given period of time. For example: an accountant with experience in the marketing industry might decide to target five opportunities per month focussed on marketing consultancies.

Finding potential clients and identifying new opportunities can be done through networking events, tenders listed in newspapers and industry magazines and headlines in newspapers about new projects and industry seminars. Keep an eye on your industry and stay aware of new developments.

Track the companies you approach in a database ( you could use Microsoft Excel or Access). Tracking should cover the obvious things (company contact details etc) as well as details of what was discussed, potential works, actions and more.

Oftentimes when I meet someone for the second or third time, they say, “aren’t you in accounting?” While I am into accounting, which is the methodology and measuring aspect of my work, the profession as a whole is better labeled as ‘accountancy’.

Accountancy is the profession and accounting it the methods by which accountants measure, track and report on financial information so that resource allocation decisions can be made by, well, whoever the decision makers are.

For a small business owner’s personal finances, as an example, I may be measuring the finances of a few people (the family), and reporting the necessary information to the small business owner. In this situation, the decision maker is the small business owner and his decisions involve deciding how much money he has to put toward family necessities.

Generally speaking, there are two main types of accounting. There is financial accounting and there is auditing. Financial accounting typically involves processing of financial information about a business operation where information is recorded, organized, summarized, interpreted and finally communicated.

Auditing, on the other hand, is there process that an independent auditor examines accounting records and financial statements so that he or she can express a professional opinion about the financial records and answer questions about projections.

At the heart of accountancy lies the need to take stock of the day to day state of various sales and expenses. In the modern world when many contracts are partially fulfilled at varying times, bookkeeping is the only way to know where you and your business stand in the greater scheme of things.

If you operate your own small business, you may be able to do just fine with some accounting software. Take a look around for some flowchart templates. These can make monthly financial recording and reporting, dare I say it, fun. Simply enter in the various types of income and expenses, then each subsection updates the appropriate fields. When starting a business, you have to determine the method you are going to use for accounting and paying taxes. The two choices are the cash method and the accrual method.

Cash Method

If you are looking for simplicity, the cash method is probably your best accounting choice. Generally, income and deductions can be claimed when payment is actually received or made. This is best shown with an example.

I open a small business and have to order business cards and stationary. I receive the products and pay the invoice on November 18, 2007. Under the cash method, I can deduct the cost on my 2007 tax return.

Some businesses are restricted from using the cash method. C corporations may only use the cash method if they have less than $5 million in gross revenues for a particular year. Professional Service Corporations can use the cash method without limit, while farming corporations can due so if gross revenues are less than $25 million. Tax shelters are prohibited from using the cash method.

Accrual Method

The Accrual Method of accounting is a bit more complex. Under this method, the focus in on the date the expense is incurred, not paid. Although this may seem a small difference, it can play havoc with your books and piece of mind.

Using our previous example, assume I order business cards and stationary on the December 18, 2006. I receive the products on December 30th, but don’t pay the invoice until January 20, 2007. When can the expense be claimed? It depends on when economic performance occurred.

Generally, economic performance occurs when goods or services are provided to you. In the above example, economic performance would arguably occur when the business cards and stationary were delivered with the invoice on December 30th. Thus, I would be able to deduct the expense for the 2007 tax year.
